The owner usually signs the contracts for electricity, gas, water, heating and sewage &#8211; these services are permanently tied to the unit. Internet, cable TV, a landline? That&#8217;s the tenant&#8217;s affair. They don&#8217;t depend on the address, so it&#8217;s logical that the tenant arranges them themselves.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip 1:<\/strong> Before signing the tenancy agreement, establish precisely which utilities are included in the rent and which will be settled separately &#8211; this will let you avoid disputes right at the start of the relationship.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Two kinds of financial charges &#8211; and you need to distinguish them straight away:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Fixed costs<\/strong> &#8211; the management fee, the renovation fund, waste collection &#8211; their level doesn&#8217;t depend on individual consumption<\/li>\n<li><strong>Variable costs<\/strong> &#8211; water, electricity and gas usage &#8211; charged in proportion to the tenant&#8217;s actual consumption<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Clauses_in_the_Tenancy_Agreement_on_Utility_Billing\"><\/span>Clauses in the Tenancy Agreement on Utility Billing<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">Additional charges, for example for utilities, should be clearly described in the agreement &#8211; including the way readings are taken and an indication of who takes them.<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\">Precise clauses in the agreement are your safeguard. Without that? A festival of interpretations begins. And those rarely end amicably (I know from experience).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip 2:<\/strong> Every additional cost &#8211; waste collection, internet, unit insurance &#8211; should be itemised separately in the agreement, even if it seems obvious.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In practice, two billing models are used:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Monthly flat-rate<\/strong> &#8211; a fixed amount independent of consumption. Budget predictability, but the risk of underestimating or overpaying<\/li>\n<li><strong>Settlement by actual consumption<\/strong> &#8211; based on meter readings. Fair to both sides, but it requires regular documentation and timely settlements<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Meter_Readings_and_the_Handover_Protocol\"><\/span>Meter Readings and the Handover Protocol<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The handover protocol. It sounds dull, but it&#8217;s the foundation of the whole settlement. This document records the state of all the meters on the day the unit is handed over &#8211; at the start and at the end of the tenancy. Without it, someone pays for somebody else&#8217;s consumption. A properly drawn-up protocol eliminates the most common source of conflicts. I&#8217;ve experienced it first-hand &#8211; a single missing reading can generate weeks of discussion.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip 3:<\/strong> On the day you hand over the keys, take photographic documentation of all the meter readings and attach the photos to the protocol &#8211; it&#8217;s irrefutable evidence in the event of any discrepancies.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">How often should you take readings? It depends on the utility. Electricity and gas &#8211; even monthly, no problem. Water and heating are subject to longer cycles imposed by the suppliers. For short tenancies, I recommend asking to shorten the billing periods. That way you can assign costs to a particular tenant more precisely.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Three_Methods_of_Settling_Utilities_with_a_Tenant\"><\/span>Three Methods of Settling Utilities with a Tenant<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Which one to choose? It depends on the unit, the number of occupants and the type of services. There&#8217;s no single ideal method &#8211; each has its pros and cons.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Method 1 &#8211; Flat-rate.<\/strong> You set a fixed monthly amount and that&#8217;s it. It doesn&#8217;t change regardless of consumption. The simplest administratively, but risky. If the tenant uses more than you assumed &#8211; you bear the loss. It works well for short-term lets for a single person. But be warned &#8211; with a family of two children, a flat-rate is asking for trouble.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Method 2 &#8211; Settlement by meter readings.<\/strong> At the end of the period you record the readings on the metering devices and calculate the amount due based on actual consumption. A precise method. It does, however, require consistency and access to all the sub-meters.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Method 3 &#8211; Advance payments with periodic settlement.<\/strong> The tenant pays an agreed advance each month, and after the billing period ends you make an adjustment &#8211; a top-up payment or a refund of any overpayment. Personally, this is the method I use most often. It combines budget predictability with fairness to both sides and works well for longer agreements.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Settling_Utilities_in_Room-by-Room_Rentals\"><\/span>Settling Utilities in Room-by-Room Rentals<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Room-by-room renting is a different league. Three or four people in one flat and the question &#8211; who used how much? Without sub-meters, assigning individual water or heating consumption is practically impossible. So what then? A proportional split of the costs, a per-capita settlement, or individual charging wherever the metering infrastructure allows. Each approach makes sense in the right context.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">Because tenants may change fairly quickly, the best option is to ask suppliers to shorten the billing periods &#8211; this applies especially to electricity, gas, internet and insurance.<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip 4:<\/strong> With room-by-room rentals, set a monthly flat-rate or settle up each month based on the meter readings &#8211; this approach minimises the risk of disputes between flatmates.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The most problematic services are those with a long billing period &#8211; water, sewage, central heating. They can&#8217;t always be shortened. In such cases, a monthly advance with an adjustment after the supplier&#8217;s invoice arrives works well. Simple and reasonably fair.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Tools_for_Automating_Utility_Billing\"><\/span>Tools for Automating Utility Billing<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">One or two flats &#8211; you can handle it in Excel or even on a piece of paper. I&#8217;ve tested several SaaS rental management platforms and I have to admit &#8211; the modules for automatically generating documents, invoices and utility consumption statements really do make a difference. They eliminate errors and save a lot of time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As for the cost &#8211; basic plans start at around 9.84 PLN per unit a month, advanced variants cost 14.76 PLN, and professional packages with full functionality &#8211; 25.83 PLN per unit. With a dozen or so flats, the investment pays for itself in the first month. Seriously, I worked out for myself how much time I was wasting on manual calculations.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And then there&#8217;s the National e-Invoicing System. KSeF (Poland&#8217;s National e-Invoicing System) is coming into force in 2026 and you need to prepare for it. Integrating rental management tools with KSeF will let you meet the legal requirements without any extra work. What&#8217;s also nice is that modern platforms offer a tenant panel &#8211; the tenant checks the settlement details themselves and doesn&#8217;t call you with questions every month.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"The_Most_Important_Rules_for_Settling_Utilities\"><\/span>The Most Important Rules for Settling Utilities<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Correctly settling utilities comes down to a few steps. Applied consistently. Clear clauses and reliable documentation &#8211; that&#8217;s the basis of a conflict-free tenancy. It makes no difference whether you manage one flat or twenty.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Describe precisely in the agreement how each utility is settled and the payment deadlines<\/li>\n<li>Draw up a detailed handover protocol with the readings of all the meters<\/li>\n<li>Match the billing method to the specifics of the unit &#8211; flat-rate, readings, or advances with adjustment<\/li>\n<li>Take regular readings and archive the photographic documentation<\/li>\n<li>Consider implementing a SaaS system when managing a larger number of properties<\/li>\n<li>Monitor legal changes &#8211; in 2026 new regulations on KSeF and the flat-rate tax on rental income come into effect<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Digital rental management tools streamline day-to-day settlements and help you keep on top of the growing formal requirements. But regardless of scale &#8211; one thing doesn&#8217;t change. Clear rules set at the very start of the relationship with the tenant.
