They go missing, get damp, someone accidentally throws them out during an office move. And then a dispute with a tenant comes up and you&#8217;re hunting for the handover protocol in a stack of boxes. A digital file solves this once and for all &#8211; you have everything in one place, with version history, accessible from your phone at three in the morning (because that&#8217;s exactly when a tenant calls about a breakdown). Over years of rental management I&#8217;ve put together a list of 11 documents that absolutely must be in such an archive. Without it, the rest of the documents make no sense. The parties&#8217; details, a description of the property, financial terms, the term of the agreement &#8211; that&#8217;s the minimum. The Polish market features several types of contracts: fixed-term, open-ended, occasional lease and institutional lease. Each carries different obligations and a different level of legal protection. It&#8217;s worth knowing what you&#8217;ve signed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Addenda &#8211; that&#8217;s a separate story. A change in rent, shifting the payment date, new rules for using the property. Everything has to be in writing, otherwise it&#8217;s invalid. And this is where people most often get lost. You have three addenda from different years and you don&#8217;t know which one is current? Chronology in the file takes care of it. You arrange them by date and immediately see what applies.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip:<\/strong> Store scans of the signed pages together with the date of conclusion and the term of validity. Name the files according to a scheme such as &#8220;agreement_YYYY-MM-DD&#8221; or &#8220;addendum_01_YYYY-MM-DD&#8221;, which will significantly speed up searching.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Documents_confirming_the_tenants_identity_and_credibility\"><\/span>Documents confirming the tenant&#8217;s identity and credibility<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Checking out a tenant before signing the agreement? That&#8217;s no whim &#8211; it&#8217;s basic hygiene. A copy of their ID confirms that the person sitting across from you really is Jan Kowalski and not someone using another person&#8217;s details. Proof of income gives you confidence that the rent will come in regularly. Because faith in good intentions isn&#8217;t enough given the amounts involved.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Tenant&#8217;s liability insurance &#8211; nominally optional, but increasingly required. And rightly so. If a tenant floods the neighbour one floor below, then without insurance the problems land on you as the owner. I&#8217;ve seen situations like that. Wouldn&#8217;t recommend it.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>A copy of the tenant&#8217;s ID card or passport<\/li>\n<li>A certificate of employment stating their salary<\/li>\n<li>A bank statement confirming regular incoming payments<\/li>\n<li>A guarantee from a parent or legal guardian (in the case of students)<\/li>\n<li>The tenant&#8217;s private liability insurance<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"The_handover_protocol_and_photographic_documentation\"><\/span>The handover protocol and photographic documentation<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The handover protocol. The document that saves your skin when a flat is handed back. You describe the state of the property room by room &#8211; furniture, appliances, walls, floors, fixtures. Without it, you won&#8217;t prove anything in court. Seriously. I&#8217;ve met owners who lost thousands of zlotys because they didn&#8217;t have a proper protocol.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Photos fill in what words can&#8217;t capture. Article 675 \u00a7 1 of the Civil Code is clear &#8211; the tenant returns the property in an undeteriorated condition but is not liable for normal wear and tear. And how do you tell &#8220;normal wear and tear&#8221; apart from a hole in the wall after a party? Exactly. With photos.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip:<\/strong> Update the photographic documentation with every change of furnishings or repair. Date the photos automatically &#8211; most SaaS systems let you tag files with a timestamp.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"The_energy_performance_certificate_and_formal_legal_documents\"><\/span>The energy performance certificate and formal legal documents<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Since 28 April 2023, the owner must provide the tenant with an energy performance certificate. Before signing the agreement. Not after, not &#8220;when the opportunity arises&#8221; &#8211; before. The penalty? A fine of up to 5000 z\u0142. The certificate shows how much energy the building consumes, so the tenant knows what to expect on their bills. A fair thing, all in all.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An occasional lease additionally requires a tenant&#8217;s statement of submission to enforcement &#8211; in the form of a notarial deed. It sounds intimidating, but it&#8217;s simply a safeguard against the situation where a tenant refuses to move out after the agreement ends. Without it, you face a months-long eviction procedure. And then there&#8217;s the GDPR clause &#8211; a formality, but a mandatory one.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The building&#8217;s energy performance certificate<\/li>\n<li>A statement of submission to enforcement (notarial deed &#8211; occasional lease)<\/li>\n<li>An indication of an alternative property together with the consent of that property&#8217;s owner<\/li>\n<li>A GDPR information clause signed by the tenant<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Utility_settlements_invoices_and_payment_confirmations\"><\/span>Utility settlements, invoices and payment confirmations<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Electricity, gas, water, heating &#8211; the contracts with suppliers are usually signed by the owner. Internet, cable, phone &#8211; that&#8217;s already the tenant&#8217;s domain. But this split has to be clearly stated in the agreement. Because otherwise the grievances start: &#8220;I thought you paid for the water&#8221;. There&#8217;s no point leaving grey areas.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Rent payment confirmations &#8211; collect them like gold. Every single one. Every month. Settlements of utility advance payments (especially the annual ones) generate more disputes than anything else in the landlord-tenant relationship. And with KSeF (Poland&#8217;s National e-Invoicing System) on the horizon, digital settlement records are becoming not so much convenient as simply necessary.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>Strong at generating documents &#8211; agreements, addenda, protocols, invoices &#8211; directly from within the system. An extensive system with utility billing, remote agreement signing and KSeF integration.<\/p>\n<\/blockquote>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip:<\/strong> Automate the generation of settlement documents from within a SaaS rental management system. This eliminates manual data-entry errors and ensures the archive stays consistent.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"How_to_organise_a_digital_tenant_file_in_a_rental_management_system\"><\/span>How to organise a digital tenant file in a rental management system<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">I&#8217;ve been testing SaaS rental management systems for years and one thing I can say &#8211; ready-made folder structures save a huge amount of time. Automatic reminders about expiring documents, secure cloud storage, and now on top of that KSeF integration (planned as a requirement in 2026). These aren&#8217;t gadgets &#8211; they&#8217;re real operational value.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Remote access<\/strong> &#8211; viewing documents from any device without physically being in the office<\/li>\n<li><strong>Version history<\/strong> &#8211; a record of changes to every file, with the option to revert to earlier versions<\/li>\n<li><strong>Security<\/strong> &#8211; encryption, backups and access-permission control<\/li>\n<li><strong>Automatic reminders<\/strong> &#8211; notifications about expiring agreements, missing documents or settlement deadlines<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">How do you set up the structure? Simply. Categories: agreements, tenant verification, protocols, formal documents, settlements. Five folders and you have order. Search time drops to a minimum, and checking that the documentation is complete becomes trivial. With ten tenants, the difference between chaos and a system is maybe an hour a week.
