Each of these documents requires precise data, correct amounts and dates. It sounds trivial, but get a single date wrong and the trouble begins.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Since 28 April 2023, landlords have been obliged to provide the tenant with an energy performance certificate (EPC) before signing the agreement. No certificate? A fine of up to 5000 z\u0142. And no, this is not a dead-letter provision &#8211; inspections do happen. The obligation also applies to renting out individual rooms in a flat, so the number of required certificates grows in proportion to the number of agreements concluded.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Room-by-room renting is a whole different league when it comes to documentation. Each tenant signs a separate agreement. A three-room flat means the entire procedure is replicated three times over &#8211; tenant verification, protocol, individual settlements. I&#8217;ve been through this myself and I&#8217;ll say it plainly &#8211; with a few such units the paperwork can drive you up the wall. The document multiplier grows exponentially with the number of tenants and units in your portfolio.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Tenancy agreement<\/strong> &#8211; defines the parties, the subject of the tenancy, the rent and the terms of cooperation<\/li>\n<li><strong>Handover protocol<\/strong> &#8211; documents the condition of the property at handover and return<\/li>\n<li><strong>Utility settlements<\/strong> &#8211; monthly or quarterly statements of electricity, water, gas and heating usage<\/li>\n<li><strong>Invoice or bill<\/strong> &#8211; confirmation of rent due<\/li>\n<li><strong>Addendum to the agreement<\/strong> &#8211; formalises every change to the tenancy terms<\/li>\n<li><strong>Termination notice<\/strong> &#8211; requires written form and the correct calculation of deadlines<\/li>\n<li><strong>Energy performance certificate<\/strong> &#8211; mandatory to provide before signing the agreement<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Even with five units rented to different tenants, you&#8217;re juggling several dozen active documents at once. Without an organised system it&#8217;s easy to miss a settlement deadline, lose an addendum or mix up the data in a protocol. Seemingly minor things. Different settlement periods for the individual utilities mean you have to keep several parallel calendars of meter readings and payments. With room-by-room renting it gets even more interesting, because tenants change independently of the providers&#8217; settlement cycles. Hence flat-rate charges or frequent meter readings &#8211; both of which take time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And let&#8217;s look at those hours through the lens of money. According to estimates from BNM &#8211; Real Estate Advisory, the monthly cost of employing an average office worker in Warsaw is around 3,200 euros. Even if you do it all yourself, your time has a concrete value. Twenty hours a month on documentation is an opportunity cost that, with a larger portfolio, exceeds the price of professional software. Many times over.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip:<\/strong> To estimate how much time rental administration actually consumes, spend one week noting down every task connected with documentation &#8211; from checking a transfer, through issuing an invoice, to scanning a protocol. All in all still not much, considering how much time you get back.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The &#8220;per unit&#8221; model pays off especially with a small portfolio &#8211; up to around five flats. At that scale even the basic plan covers the most important needs: generating agreements, utility billing and a document archive. But with ten or more units? Compare the premium plans with offers dedicated to larger portfolios. The total cost in the &#8220;per unit&#8221; model can approach the price of higher-tier solutions, which throw in analytics and reporting features.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Comparing the cost of the system with the value of the time spent on manual administration gives an unambiguous result. The owner of five units spends around 15 hours a month on documentation. Even at the minimum market rate, the annual cost of manual handling far exceeds the platform subscription. And, importantly, the saving grows in proportion to the number of properties, because a digital system scales without any additional time investment. The fifth unit adds no work.
