More and more people are putting their spare cash into flats for rent &#8211; and it&#8217;s hardly surprising, because a yield of 5-7% a year in big cities is still a solid result. The problem is that every percentage point eaten up by management costs is real money that doesn&#8217;t come back. And that brings up a question that pretty much every landlord faces &#8211; do I handle this myself or hand it over to a property manager? I&#8217;ve been through it myself. The answer depends on how many units you have, how much time you have and how well you know the subject. I tested this the hard way &#8211; until you have your first tenant, you think it&#8217;s &#8220;no big deal&#8221;. Some companies also charge for coordinating larger renovations. A good property manager will show you the full price list up front, with no surprises during the cooperation. Just under 30 z\u0142. The difference is colossal. Provided you have those few hours a week.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Four to nine units &#8211; this is where it gets interesting. Because the time needed for management grows faster than the number of flats. Every new unit means new tenants, more settlements, more potential breakdowns. And suddenly it turns out that in the evenings, instead of resting, you&#8217;re issuing invoices or calling the plumber. If you work a full-time job, a conflict of interests is inevitable. An external company starts to make sense in this segment &#8211; you give up time, you gain peace of mind.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Above ten units, a professional property manager or an advanced premium-tier SaaS is already the market standard. A platform cost of 25.83 PLN per unit approaches the threshold at which it&#8217;s worth thinking about full management. But what should you take into account when deciding?<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The number of units and their geographical spread &#8211; the further apart they are, the harder they are to manage in person<\/li>\n<li>The landlord&#8217;s experience in rental management and knowledge of the regulations<\/li>\n<li>Realistic availability of time in the context of your main occupation<\/li>\n<li>The tenant profile &#8211; students generate higher turnover than families or companies<\/li>\n<li>The complexity of utility billing, especially with individual meters and variable rates<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Tip:<\/strong> Start with self-management supported by a SaaS platform, and switch to an external company the moment the time spent on rental management starts to clash with your main source of income. But there are a few things you have to know, regardless of whether you manage on your own or through a company. The Tenants&#8217; Rights Protection Act, occasional leases, information obligations &#8211; that&#8217;s the absolute minimum. And the specifics: since April 2023 you have to provide the tenant with an energy performance certificate (EPC) before signing the agreement. Don&#8217;t have one? A fine of up to 5000 z\u0142. Work is underway on changes to flat-rate taxation, which may stir things up for owners of larger portfolios. The National e-Invoicing System (KSeF) means new obligations for those who account for rental income as part of a business. And the handover protocols with photos &#8211; I advise doing them meticulously. I tested this the hard way in a dispute over a scratched floor. The photos from the protocol saved me several thousand.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There&#8217;s also the institutional lease &#8211; but that&#8217;s an option only for businesses. The main difference? The tenant doesn&#8217;t have to indicate a replacement dwelling, which simplifies the procedure with large portfolios. But regardless of the model &#8211; the law changes, regulations evolve. Either you track these changes yourself, or you have a lawyer who does it for you. There&#8217;s no third option. A SaaS platform for a few dozen zloty a month takes care of the paperwork, you keep full control over tenants, rent and standards. The condition: you have a few hours a week and can handle the basics of rental law. But it can be done.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Five or more units scattered across the city (or cities)? An external company starts to make sense. A commission of 8-15% is the price for a good night&#8217;s sleep and professional service. A property manager has lawyers, service crews, a tenant verification system &#8211; things an individual investor doesn&#8217;t have access to. But &#8211; and I stress this &#8211; you have to choose a reliable company. A transparent price list, verifiable references. Without that, you&#8217;re handing over control to someone you don&#8217;t know.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And if you&#8217;re looking for the sweet spot? A hybrid model with a SaaS platform. Automated settlements, contract generation, digital communication with tenants &#8211; and you still keep your finger on the pulse. A good option to start with, because you build your competencies before your portfolio grows to a size at which a property manager becomes a necessity. Whatever path you take &#8211; regularly recalculate your costs and yield. The market changes, regulations change.
