Say your tenant gave notice in June to end the lease at the end of July. That gives you the whole notice period to find a successor who moves in from August. A gap between tenants usually appears when the landlord only posts the listing after the move-out. Suddenly viewings, screening and signing the lease all fall into the month when the flat is already empty. A waste. On the same day, confirm the handover date in writing and agree with the outgoing tenant when and how you can show the flat. These two things set the frame for the whole plan, and everything else fits around them.

Week-by-week timeline: from listing to key handover

The plan has six stages, worked backwards from the day you hand the flat over to the new tenant. The order stays the same. The pace does not, because it depends on the length of the notice period:

Listing in the first week after the notice, with a clear availability date from August.

Viewings in the following weeks, only with the current tenant’s consent and at agreed times.

Screening the candidate and booking no later than halfway through the notice period, so there is time left for a backup candidate.

Taking the flat back from the outgoing tenant in the last days of July.

Small jobs and a refresh in the window between taking the flat back and handing it over; the scope is covered in a separate article on preparing a flat for tenants.

Handing the flat over to the new tenant at the start of August.

With one flat, you can keep all this in your head. With several, the dates get mixed up in no time. In Tenanto, the unit status (rented, reserved, under renovation, vacant) shows when the flat can actually be handed over.

Showing the flat before the lease ends: how to agree it with the current tenant

Viewings during the lease happen only with the current tenant’s consent and at times you agree with them. Full stop. In practice, it works best to group interested people into blocks, for example two afternoons a week, instead of booking each person separately. That way the tenant does not feel like strangers are constantly walking through their home. Give them advance notice and send a list of times. Have the same person run every viewing, as it makes contact easier and builds trust. And good photos plus a detailed description in the listing? They filter out people who only come to have a look. If a dispute over access to the flat arises, go to a lawyer instead of forcing your way in.

Finding a new tenant before the move-out: screening and booking the date

You check the candidate and commit them to a specific date before the current tenant returns the keys. What data can you ask for at all? That is covered in the guide on GDPR-compliant tenant screening. Set the lease start date with a buffer for taking the flat back and small jobs, not for the day after the previous tenant moves out. Deposits are two separate matters: you settle the old one after taking the flat back, and you collect the new one when signing the lease with the successor. Oh, and keep the contact details of the second interested person until the lease is signed. Just in case.

Taking the flat back and handing it to the new tenant in one go

Taking the flat back from the outgoing tenant and handing it to the successor are two dates close together, with a window for repairs in between. When taking the flat back, write up a handover report and take photos of every room. Really every room, because they settle the deposit later. In the same window, plan a lock change after move-out, so the new tenant gets keys nobody else has. You can keep handover reports and lease annexes in Tenanto, attached to the specific unit. And a reminder about the lease ending will flag the next tenant turnover, so next time you do not start from scratch.

What can delay a tenant change? Risk table

Things usually fall apart because of no consent for viewings, a candidate pulling out or defects that only show up when you take the flat back. Most of these can be prevented at the planning stage.

Risk

Sign

How to prevent it

Viewings refused or limited

The tenant does not answer the phone and keeps moving dates

Agree viewing rules on the day of the notice, expand the description and photos in the listing

Candidate pulls out after booking

No signed lease by the agreed date

Keep a backup candidate until the lease is signed

Move-out gets postponed

The tenant asks for a few extra days

Confirm the handover date in writing, leave a buffer in the new lease start date

Defects found when taking the flat back

Damage visible only in the empty flat

Look around the flat during viewings, plan a window for repairs

No contractor for small jobs

The tradesperson is only free after the successor moves in

Book a contractor right after booking the candidate

Unclear meter and utility readings

Dispute over usage charges

Read the meters when taking the flat back and when handing it over, attach photos to the report

Mark the notice date in your calendar and start looking for a successor from that day, instead of waiting for the move-out.

Frequently asked questions

Can I show the flat while the tenant still lives there?
Yes, but only with their consent and at times you agree on together. If there is a dispute over access to the flat, consult a lawyer.

When should I post the listing if the tenant gave notice to end the lease at the end of July?
Right after you receive the notice, with an availability date from August. Then viewings, screening and booking all fit within the notice period. Waiting until the move-out pushes the whole process into a month when the flat earns nothing. And that is what you want to avoid.

What should I do if the new tenant wants to move in the day after the previous one moves out?
Leave a window for taking the flat back, repairs and a lock change. Even a short one. If the candidate really wants an early date, agree on the handover with the condition that the final date depends on the state of the flat after you take it back. And put that in the lease to avoid misunderstandings later.

Changing tenants without a vacant month: see the timeline from notice to
