Terms of Service

These terms of service set out the rules for using the tenanto.pl website and the app.tenanto.pl application (hereinafter: “Tenanto”). Tenanto is a rental property management platform that lets owners, managers and tenants handle buildings, units, agreements, requests, documents and payments in one place.

By using Tenanto, the user accepts these terms of service and the data processing rules described further in this document.

Controller and contact

The administrator of the Tenanto service is the service owner, who can be reached at: kontakt@tenanto.pl.

The same address is used for technical, billing and account-related matters, as well as matters concerning the protection of personal data.

User account

Using selected Tenanto features requires creating a user account. During registration, the user provides the data needed to set up an account and operate the service, in particular first name, last name, email address, phone number and password.

The user undertakes to provide true and up-to-date data and to protect their login credentials against access by third parties. The user is responsible for actions performed using their account, insofar as those actions result from the user’s act or omission.

Scope of the service

In particular, Tenanto makes it possible to:

  • keep records of buildings, units and tenants,
  • manage rental agreements and documents,
  • monitor payments and settlements,
  • handle requests and communication with users,
  • use the reporting and organisational features available in the application.

The scope of available features may depend on the selected plan, account configuration and the current version of the application.

Payments and subscriptions

Selected Tenanto features may be available under paid plans or subscriptions. Information about current plans, prices and the scope of features is presented on the website or in the application.

Payments are handled by Stripe. Tenanto does not store payment card numbers on its own servers. The system may store payment and subscription identifiers and the transaction history necessary to handle settlements.

The user may cancel a paid plan in accordance with the rules presented in the application or by contacting: kontakt@tenanto.pl.

User obligations

The user undertakes to use Tenanto in accordance with the law, these terms of service and good practice. In particular, it is prohibited to:

  • provide false data,
  • infringe the rights of third parties,
  • upload content that is unlawful, harmful or violates the privacy of others,
  • attempt unauthorised access to the system, to other users’ accounts or to the technical infrastructure,
  • take any action that may disrupt the operation of the website or application.

Availability and changes to the service

We make every effort to keep Tenanto running stably and securely. However, technical breaks, updates, outages or limitations resulting from the operation of third-party providers may occur.

We reserve the right to develop, modify or withdraw selected features, provided this does not infringe users’ acquired rights under applicable law.

Liability

Tenanto is a tool that supports property management. The user is responsible for the correctness of the data entered into the system, the content of documents, business decisions and the compliance of their actions with applicable regulations.

We are not liable for consequences resulting from the provision of incorrect data, improper use of the application, the user’s breach of these terms of service, or the actions of third-party providers beyond our control.

When submitting a report, it is helpful to provide the email address of the account concerned, a description of the problem and — if possible — screenshots or additional information that makes the report easier to analyse.

Privacy Policy

Below we describe what personal data we process, for what purpose, on what legal basis, and what rights Tenanto users have.

What data we collect

We collect only the data necessary to provide the service:

  • Registration data — first name, last name, email address, phone number, password stored in encrypted form.
  • Organisation data — company name, tax identification number (NIP), registered address, contact details.
  • Property data — building addresses, unit numbers, tenant information entered by the user.
  • Payment data — handled by Stripe. We do not store payment card numbers on our servers. We store subscription identifiers and transaction history.
  • Technical data — IP address, browser type, operating system, visit time, system logs and diagnostic information.
  • Documents — files uploaded by the user to the system, such as agreements, protocols and attachments.

Why we process data

We process data for the following purposes:

  • Providing the service — maintaining the account, managing properties, handling subscriptions and providing application features.
  • Communication — system notifications, payment information, responses to requests and account-related messages.
  • Security — protection against unauthorised access, login monitoring, abuse prevention and error diagnostics.
  • Legal obligations — meeting accounting, tax and other obligations arising from legal regulations.

The legal basis for processing is the performance of a contract (Art. 6(1)(b) GDPR), the legitimate interest of the controller (Art. 6(1)(f) GDPR), the legal obligations incumbent on the controller (Art. 6(1)(c) GDPR), and, in selected cases, the user’s consent (Art. 6(1)(a) GDPR).

Cookies

The tenanto.pl website and the application use cookies and similar technologies:

  • Essential — enable the website and application to function, handle the user session, language preferences and CSRF protection.
  • Analytical — may include tools such as Google Tag Manager, used to analyse website traffic and improve the quality of the service.

The user can manage cookies in their browser settings or — if a consent banner is available on the site — through the cookie consent settings. Disabling essential cookies may make it impossible to use some features of the website or application.

Data sharing

We share data only with entities necessary to provide the service, in particular:

  • Stripe, Inc. — payment and subscription handling.
  • Hosting provider — storing data on servers located within the European Union.
  • Technical service providers — tools necessary for maintenance, security, diagnostics and system communication.

We do not sell personal data. We do not share it with third parties for marketing purposes.

Data retention period

We retain data for the period necessary to achieve the purposes for which it was collected:

  • Account data — for the entire period of using the service and up to 30 days after the account is deleted, unless longer retention is required by law or by the need to pursue claims.
  • Billing data — for the period required by law, in particular 5 years from the end of the tax year.
  • Technical logs — up to 12 months, unless longer retention is necessary for security reasons or to investigate an incident.
  • User documents — for the period of using the service or until they are deleted by the user, including backup copies.

Your rights

Under the GDPR, you have the right to:

  • access your data and obtain a copy of it,
  • rectify incorrect data,
  • erase data (“the right to be forgotten”),
  • restrict processing,
  • data portability,
  • object to processing,
  • withdraw consent, where processing is based on consent,
  • lodge a complaint with the President of the Personal Data Protection Office (the Polish supervisory authority).

Data security

We use SSL/TLS encryption, password hashing, regular backups and role-based access control. Payments are handled by Stripe, which complies with the PCI DSS standard.

Despite the security measures in place, the user should also take care to protect their account, in particular by using a strong password and not sharing login credentials with third parties.

Changes to this document

We reserve the right to change these terms of service and privacy policy, in particular in the event of changes to how the service operates, changes in the law or the implementation of new features.

We will inform users of material changes through a notification in the application or by email. The current version of the document is always available at tenanto.pl/en/terms-and-privacy-policy.
